In short: we use the information you give us to respond to you, quote and manage journeys, provide booked services, keep appropriate records and operate this website. We do not sell your personal information.
1. Who is responsible for your information
Zanzibar Luggage is responsible for the personal information collected through this website and through the services described on it. If you have a privacy question or want to exercise a privacy right, use our Contact Us form and use the subject “Privacy”.
2. Information we collect
Depending on how you use the website or service, we may collect:
- your name, email address and WhatsApp number;
- collection, delivery and passenger journey details, including locations, dates, times and passenger numbers;
- information about your luggage, including quantities, size categories, unusual items and any luggage photo you choose to upload;
- information about an agreed luggage recipient where relevant;
- messages, enquiries, quotes, booking confirmations and service communications;
- payment and transaction records, although payment card details may be handled directly by a payment provider rather than by us; and
- basic technical, security and access information generated when the website is used.
3. How we use personal information
We use personal information to:
- respond to enquiries and questions;
- check availability, plan routes and prepare quotes;
- confirm, administer and provide booked services;
- coordinate collections, passenger movements, storage, luggage handovers and deliveries;
- communicate about changes, delays, collection details and other service matters;
- process or record payments and refunds where applicable;
- protect customers, luggage, our team and the website from fraud, misuse and security incidents;
- keep records for accounting, complaints, claims and legal compliance; and
- understand the types of services customers request and improve the service.
Where UK data protection law applies, we normally rely on taking steps at your request before a contract, performing a contract, complying with legal obligations, and our legitimate interests in operating, improving and securing the service. Where another legal basis is required, we will use that basis.
4. Who we share information with
We may share information with service providers and operating partners where reasonably necessary to run the website or provide your journey. This may include Cloudflare for website infrastructure, Basin for receiving and storing website form submissions and delivering form notifications, Microsoft services for email, payment providers where used, and local drivers, storage providers or other operating partners involved in a booked journey.
We aim to share only the information reasonably needed for the relevant task.
5. International processing
Zanzibar Luggage operates across an international travel context. Personal information may therefore be processed in the United Kingdom, Tanzania or Zanzibar, and in countries where our technology providers operate. Where applicable law requires safeguards for international transfers, we will rely on appropriate legal safeguards or service provider arrangements.
6. How long we keep information
General enquiries that do not lead to a booking are normally kept for up to 12 months. Booking, payment, accounting and transaction records may be kept for up to 6 years where reasonably required for tax, accounting, legal, safety, claims or dispute purposes. We may retain particular information for longer where a complaint, claim, security issue or legal requirement makes that necessary.
7. Luggage photographs and handover records
Where relevant, we may use photographs or other records of luggage condition, collection or delivery to identify luggage, plan suitable transport, record condition, confirm custody and evidence handover. These records are used for operational, safety and dispute handling purposes.
8. Your rights
Depending on the law that applies to you, you may have rights to request access to personal information, correction, deletion, restriction, objection to certain processing, or transfer of information in a usable form. You may also have the right to withdraw consent where processing is based on consent.
Use our Contact Us form with the subject “Privacy” to make a request. We may need to verify your identity before acting on it.
9. Complaints
If UK data protection law applies, you may have the right to complain to the UK Information Commissioner’s Office. If Tanzanian data protection law applies, complaint rights may also be available through the Personal Data Protection Commission of Tanzania. We would appreciate the opportunity to address your concern first.
10. Cookies and similar technologies
We do not currently use advertising or behavioural profiling cookies. Cloudflare and other infrastructure providers may use strictly necessary technical or security mechanisms to deliver and protect the website. If we later add non essential analytics or marketing technologies, we will update this notice and introduce any consent mechanism required by applicable law.
11. Changes to this notice
We may update this Privacy Notice as the service develops or legal requirements change. The latest version will be published on this page with an updated date.
